Trailer use policy and rental document for Marial RV.
TRAILER USE POLICY DURING RENTAL This policy forms an integral part of the rental agreement. The renter acknowledges having received the trailer use instructions and agrees to use the trailer carefully, responsibly, and in accordance with the instructions provided by the owner. 1. General Responsibility of the Renter During the entire rental period, the renter is responsible for the trailer, its equipment, accessories, interior and exterior components, and any damage caused by misuse, negligence, omission, or failure to follow the instructions. The renter must use the trailer as if it were their own property and must immediately notify the owner of any breakage, damage, incident, water infiltration, electrical issue, propane issue, or any other problem that may affect the safety or condition of the trailer. 2. Use of the Awning - Important Clause The trailer awning is a fragile piece of equipment and is highly sensitive to wind, rain, sudden gusts, and poor weather conditions. The renter acknowledges that an awning can be damaged very quickly, even during moderate or unexpected winds. The renter is fully responsible for the use of the awning during the rental period. The awning must be closed in the following situations: 1. When the renter leaves the campsite or moves away from the trailer; 2. When no one is close enough to the trailer to supervise the awning; 3. Overnight, without exception; 4. When there is wind, even light or moderate wind; 5. When there is a risk of storms, heavy rain, hail, or gusts; 6. When the weather forecast indicates unstable conditions; 7. When the awning is not being used. The renter must never assume that the awning can remain open without supervision. Even if the weather appears calm when leaving or going to bed, conditions can change quickly. Any damage caused to the awning, its arms, motor, fabric, supports, brackets, or the trailer structure due to the awning being left open, misused, or not closed in time will be the renter’s responsibility. Awning damage can result in significant costs, including repair, full replacement, labour, parts, travel fees, loss of rental income while the trailer is out of service, and any applicable insurance deductible. 3. Rain and Water Accumulation on the Awning The awning must never be used in a way that allows water to accumulate on the fabric. Water accumulation can bend the arms, tear the fabric, or damage the structure. In case of rain, the renter must close the awning unless otherwise instructed by the owner. If the awning is used briefly during light rain, the renter must ensure that it is properly angled to allow water to run off and must close it immediately if the rain increases or if the wind picks up. 4. Distance from Fire, BBQ, and Heat No campfire, BBQ, smoker, portable heater, or other heat source may be placed under the awning or too close to the trailer. Heat, smoke, sparks, or grease can damage the fabric, stain the awning, melt certain components, or create a fire hazard. Any damage caused by heat, smoke, sparks, or grease will be the renter’s responsibility. 5. Doors, Windows, and Contact with Obstacles Before opening the awning, the renter must ensure there is enough space around the trailer and that the awning does not touch trees, branches, posts, fences, buildings, or any other obstacles. The renter must also make sure that doors and windows do not rub against the awning fabric. Improper height or angle may cause tearing or premature wear. 6. Interior Use of the Trailer The renter must keep the interior of the trailer clean and use all equipment in a normal and reasonable manner. It is prohibited to: - Smoke or vape inside the trailer; - Climb onto the roof; - Modify, move, or disassemble any equipment; - Use candles or open flames inside the trailer; - Allow children to use electrical, propane, or mechanical equipment without supervision; - Overload electrical outlets; - Leave windows open during rain; - Run the air conditioning or heating with doors or windows open. 7. Propane, Electricity, Water, and Equipment Use The renter must use the propane, electrical, and water systems according to the instructions provided at pickup or installation. Propane and Gas Appliances Propane must be used with caution. The renter must ensure that all propane-operated appliances are used only for their intended purpose, including the stove, oven, refrigerator, water heater, or heater, depending on the equipment available in the trailer. After each use of the stove or any propane appliance, the renter must always make sure that all knobs are properly closed and in the OFF position. The renter must also verify that no flame remains lit and that there is no smell of propane inside the trailer. Children must never touch, handle, or play with the knobs of the stove, oven, heater, refrigerator, water heater, or any other propane-operated appliance. The renter is responsible for supervising children at all times and ensuring that they do not operate any knob, switch, valve, or control related to propane. Any improper handling of propane knobs, valves, or appliances by a child, guest, or any other person present during the rental remains the full responsibility of the renter. In the event of a propane smell, the renter must immediately: - Turn off all appliance knobs; - Shut off the propane source if possible; - Avoid using any switch, flame, lighter, or device that could create a spark; - Open doors and windows to ventilate; - Leave the trailer if the smell persists; - Contact the owner immediately. Propane must be shut off when required, including during transportation, in an emergency, or when instructed by the owner. Electricity The renter must avoid electrical overloads and use only authorized outlets, extension cords, or adapters. It is prohibited to modify electrical connections or use unauthorized equipment that could cause an overload, power failure, or fire hazard. Water The renter must use water reasonably and ensure that faucets are properly closed after use. Windows, vents, and openings must be closed during rain to prevent water infiltration. Cleaning After Use After using the trailer, the renter must clean the used surfaces, remove garbage, and leave the equipment in clean condition. Even though animals are prohibited, if hair, pet hair, dirt, residue, or other traces are found after the rental, the renter may be responsible for additional cleaning, deodorizing, or restoration fees. 8. Toilet and Holding Tanks Only toilet paper designed for RVs may be used in the toilet. It is prohibited to flush wipes, sanitary products, tampons, paper towels, diapers, food, grease, or any other item that may block the system. Grey water and black water tanks must be used properly. If the renter is responsible for emptying them, they must be emptied before the trailer is returned or according to the rental agreement. Fees may be charged if the tanks are not emptied or if a blockage is caused by improper use. 9. No Pets Allowed Pets are strictly prohibited inside the trailer and in the immediate vicinity of the trailer, unless prior written authorization is provided by the owner. No animal may enter the trailer, including but not limited to dogs, cats, birds, or any other domestic animals. If the presence of an animal is discovered during or after the rental, the renter may be held responsible for all applicable fees, including: - Additional cleaning; - Deodorizing; - Removal of pet hair; - Damage to furniture, floors, walls, screens, or equipment; - Loss of rental income if the trailer must be removed from service for cleaning or repairs. Any violation of this rule may result in a partial or full deduction from the security deposit, as well as additional charges if the costs exceed the deposit. 10. Cleaning and Return Condition The trailer must be returned in a clean and reasonable condition. The renter must remove personal belongings, garbage, food, bottles, cans, and any items used during the stay. Additional cleaning fees may be charged if the trailer is returned excessively dirty, with odours, stains, dirty dishes, garbage, hair, pet hair, dirt, or interior damage. 11. Inspection Before and After Rental An inspection of the trailer may be performed before pickup or installation, as well as upon return or at the end of the rental. Photos or videos may be taken to document the condition of the trailer and its equipment. Any damage found after the rental may be deducted from the security deposit or charged to the renter based on the actual cost of repair or replacement. 12. Damage, Fees, and Security Deposit The security deposit may be used to cover, including but not limited to: - Awning damage; - Interior or exterior damage; - Broken equipment; - Excessive cleaning; - Holding tanks not emptied; - Missing accessories; - Repair costs; - Travel fees; - Loss of rental income if the trailer must be removed from service due to damage caused during the rental. The renter remains responsible for any amount exceeding the security deposit if the damages or fees are higher than the deposit amount. 13. Weather and Vigilance The renter is responsible for monitoring weather conditions during the stay. In the event of wind, heavy rain, storms, hail, weather alerts, or uncertain conditions, the renter must secure the trailer, close the awning, close the windows, put away exterior items, and contact the owner if necessary. 14. Failure to Comply with This Policy Failure to comply with this policy may result in fees, a partial or full deduction from the security deposit, repair charges, or, in serious cases, immediate termination of the rental. By signing the rental agreement, the renter confirms that they have read, understood, and accepted this Trailer Use Policy.
